Gogi Abroad is a small, dynamic travel organization with seasoned, enthusiastic leaders who work closely with families and schools to ensure a safe, inspiring experience. We come to know each student personally in a true relationship that lasts beyond the trip itself and into life. We are in our 10th year of business and growing each year. We have incredible partnerships around the world, and have been working with Spain for 20 years, Ecuador and Peru for 15, and have a vast global network of connections. 

Each year our reach is growing.  In 2023, we had over 200 participants, including five adult trip and six school groups.  Our goal is continued growth, specifically with our school groups and Tribal Gap Year program.

Job Summary:

The Office Manager for GOGI  is responsible for maintaining efficient office operations, ensuring compliance with policies and procedures, facilitating communication with participants and partners, and assisting in outreach and marketing efforts. The role requires a friendly, professional demeanor and customer service skills, combined with firmness and clarity when enforcing policies. 

Proficiency in a variety of online platforms is essential – we use Google Drive, Squarespace, and Zoho CRM.  The Office Manager will assist in creating and streamlining the inquiry and trip enrollment systems, managing travel logistics, editing trip itineraries, and communicating with participants. Conducting research and engaging in outreach activities to expand partnerships with schools and travel partners to build a robust network is also part of the team effort.  

This position is ideal for a highly motivated, independent problem-solver who enjoys creating and maintaining systems for efficiency and excellent customer service.  The office manager works directly with the founder and director in a close, collaborative environment – a good sense of humor and a positive attitude are keys to our success and continued growth.  

Responsibilities:

Admin: 15 hours per week

  • Manage inquiries, nurture leads, and facilitate registrations with trip participants and school trip coordinators

  • Maintain office operations and ensure adherence to policies and procedures.

  • Communicate with participants regarding policies, refunds, and trip logistics.

  • Assist in creating and implementing office systems to streamline application and registration processes.

  • Coordinate purchasing of tickets, accommodations, and other trip-related necessities if needed for a trip. 

  • Manage communication between parents and relevant staff during school trip if needed and the summer months.

Outreach: 1-5 hours per week

  • Research and identify potential partner schools, colleges, universities, and organizations.

  • Reach out to Spanish teachers to promote Spanish language experiences for school trips.

  • Engage with college counselors to promote summer trips, school trips, and gap year experiences in Spain.

  • Act as a liaison between the study abroad office and school coordinators for trip planning and coordination.

Marketing: 1-5 hours per week

  • Assist in developing marketing strategies to promote study abroad experiences.

  • Help create and distribute promotional materials to target audiences.

  • Collaborate to enhance online presence and visibility, including newsletters. 

  • Contribute ideas for innovative marketing approaches to attract participants.

Qualifications:

  • Excellent interpersonal skills, communication skills, and a friendly, confident demeanor 

  • Previous experience in office management or administration.

  • Proficiency in organizational systems and ability to learn new platforms quickly

  • Attention to detail is critical 

  • Knowledge of travel logistics and booking processes is an asset.

  • Familiarity with outreach and marketing principles.
